MISSION OBJECTIVE:
Support the organization’s financial operations by executing accurate, timely, and compliant accounts payable and reconciliation processes for US and UK entities, ensuring smooth financial operations and efficient month-end closings.
MAJOR DUTIES AND RESPONSIBILITIES:
The following is a general outline of duties and responsibilities for this role. It is not an exhaustive list, and additional duties may be assigned or removed at the discretion of the Senior Manager, Global Finance and Accounting, to meet organizational needs and priorities.
Purpose: Execute Intricate Transactions
- Applies knowledge of financial accounting standards and nonprofit bookkeeping to perform accurate transaction processing, ensuring compliance and completeness of financial documentation.
- Executes multi-step financial transactions in SageIntacct and banking platforms, including accounts payable, accounts receivable, credit card reconciliations, donations, and deposits for US and UK entities.
- Daily entry of incoming bills, purchase requests, payment transactions, and credit card reconciliations into SageIntacct, with all supporting documentation attached.
- Preparation of weekly accounts payable schedules for both US and UK entities, ensuring readiness for AP approval and alignment with banking submission timelines.
- Submission of payment batches in Bank of America CashPro (US) and equivalent systems for the UK.
- Distribution and follow-up on credit card statements to ensure timely reconciliation within one month of issuance.
- Download invoices from supplier portals to ensure timely payment processing
- Backup processing of deposits in SageIntacct (US and UK), including proper documentation.
- Coordination with Fund Development to ensure donations from platforms and other sources are processed and posted accurately.
- Collection and recording of Gift Aid in UK accounts.
- Respond to incoming queries in the Finance inbox regarding AP/AR transactions and financial entries.
Engagement: Inform
- Engages regularly with the Finance and Administration team, as well as cross-functional colleagues including staff and consultants in both the US and UK. Responds to internal queries related to accounts payable and documentation requirements, providing timely clarification to ensure accurate and compliant financial submissions. Collaborates with Fund Development to support donation processing.
- Communicates with external stakeholders including suppliers, contractors, and banking representatives. Provides information on payment status, resolves documentation issues, and ensures timely processing of financial transactions. Explains variances or required actions where appropriate to support the payment and reconciliation process.
Delivery: Prioritize and Select
- Sequences and prioritizes deliverables to ensure compliance with internal deadlines and banking schedules.
- Ensures all financial transactions are recorded and reconciled to enable the month-end close within 5–7 days.
- Prepares and submits weekly AP schedules following payment timelines.
- Coordinates credit card reconciliation to be completed within 30 days of distribution.
- Ensures donation processing is completed in time to support monthly financial reporting.
- Delivers consistently high-quality financial entries that meet documentation and compliance standards.
- Maintains 100% data accuracy in transaction processing in SageIntacct and banking systems.
- Ensures all entries are accompanied by complete and accurate supporting documentation.
- Maintains real-time and up-to-date records to support operational and audit requirements.
- Ensures accurate Gift Aid data is captured and available for analytics and compliance.
POSITION REQUIREMENTS & TARGET SKILLS PROFILE
The Accounting Officer will be thoroughly committed to Equality Now’s mission. The position requires proven financial administration skills, attention to detail, and the ability to work independently in a cross-border, multi-currency environment. Specific requirements include:
Substantive Knowledge
- Associate’s degree with a minimum of three years of general office/operations experience, including at least one year in accounts payable and receivables.
- Strong understanding of nonprofit accounting practices and financial system processes.
- Familiarity with multi-currency environments across US and UK entities.
Communication Skills
- Strong written and verbal communication skills for internal coordination and external supplier interaction.
- Ability to explain accounting processes and requirements to staff and vendors.
- Responsiveness in addressing queries and escalating issues when necessary.
Execution Skills
- High attention to detail, accuracy, and accountability.
- Ability to work independently while managing multiple priorities and deadlines.
- Effective time management and organizational skills in high-volume transaction environments.
Targeted Specialized Knowledge
- Proficiency in SageIntacct financial systems.
- Experience with banking platforms such as Bank of America CashPro and UK equivalents.
- Microsoft Office proficiency, especially Excel.
- Knowledge of Gift Aid claims and donation processing.
- Expertise in accounts payable and reconciliation procedures.
